  • Contact and enquiry details: name, email, phone, organisation, region or borough, and the content of your message.
  • Data Waypoint applications: organisation details, primary contact, services offered, communities supported, and related information.
  • Partnership enquiries: organisation and contact details, partnership interests, and funding information you choose to share.
  • Technology requests: organisation ID, contact details, device needs, and details about who the devices are for.
  • Volunteering and board applications: the information in your CV and expression of interest.
  • Website usage data: limited analytics information about how the site is used (see “Cookies” below).

Please only share the personal information that is needed, and avoid including special category data (such as health information) unless it is necessary and you are happy for us to hold it.

5. How your information is handled and stored

Our website forms send submissions securely to our email (info@ifbgaming.com) and, for some forms, record them in our records system, which uses Google Workspace tools (such as Google Sheets) operated under our control. Access is limited to those who need it to respond to you. We take reasonable technical and organisational measures to protect your information.

6. Who we share it with

We do not sell your personal information. We may share it with:

  • Service providers who help us operate (for example Google Workspace, our website host, and email provider), acting on our instructions.
  • Partners or delivery organisations, only where relevant to your request and, where appropriate, with your knowledge.
  • Authorities or agencies where we are required to by law, or to protect someone at risk (see our Safeguarding Policy).

7. International transfers

Some providers (such as Google) may process data outside the UK. Where this happens, we rely on appropriate safeguards recognised under UK data protection law.

8. How long we keep it

We keep personal information only as long as needed for the purpose we collected it, or as required by law, and then delete or anonymise it. Enquiries kept for 24 months, unsuccessful applications for 6 months.]

Under UK data protection law you have the right to: access your information; ask us to correct or delete it; object to or restrict its use; withdraw consent; and request portability.
