Company & Working Practices Policy
How IFB Gaming works, and what everyone connected to us can expect.
1. Purpose and commitment
IFB Gaming is committed to a working environment that is fair, respectful, and genuinely workable for everyone connected to the organisation, whether staff, volunteers, Non-Executive Directors, partners, or contractors. This policy sets out how we work, what we expect of everyone in these roles, and what everyone can expect of us in return.
2. Who this policy applies to
This policy applies to everyone acting on behalf of IFB Gaming, including directors, staff, volunteers, Non-Executive Directors, partners, and contractors. It sits alongside our Safeguarding Policy, Accessibility Policy, Privacy Policy, and AI Policy, and should be read together with them, not in isolation.
3. Our working model
IFB Gaming operates a hybrid working model. Community-facing delivery, Get Online Week sessions, Digital Champion support, workshops, and Data Waypoint activity, happens in person, across Southwark, Lambeth, Croydon, Bromley, and our wider delivery areas. Research, toolkit development, partnerships, and administrative work are carried out flexibly, in person or remotely, depending on what the task actually requires.
We don’t treat hybrid working as a fixed rule for its own sake. The right setting is whatever gets the work done properly and respects the people involved, staff, volunteers, and the communities we serve.
4. Expected conduct
Everyone connected to IFB Gaming is expected to:
- Treat colleagues, volunteers, partners, and the people we support with dignity and respect, regardless of role or seniority.
- Communicate honestly and directly, including when raising concerns or disagreements.
- Represent IFB Gaming’s values accurately and avoid making commitments on the organisation’s behalf without proper authority.
- Follow our Safeguarding Policy at all times when working with children, young people, or adults at risk.
- Handle data responsibly, in line with our Privacy Policy.
- Use AI tools in line with our AI Policy, including being transparent about where AI has been used and never entering sensitive data into open tools.
5. Equality and respect
IFB Gaming does not tolerate discrimination, harassment, or bullying of any kind, whether based on age, disability, gender, race, religion, sexual orientation, or any other protected characteristic. Anyone with a concern about how they, or someone else, has been treated should raise it with their line contact or, if that’s not appropriate, directly with the Designated Safeguarding Lead.
6. Communication and availability
Given our hybrid model, clear communication matters more than fixed hours. Team members and volunteers are expected to be reasonably responsive during agreed working windows, and to flag genuine unavailability in good time rather than leaving colleagues or community partners waiting without explanation.
7. Wellbeing and support
Community-facing digital inclusion work can be demanding, both practically and emotionally. Anyone finding a role, workload, or situation difficult is encouraged to raise it early, rather than waiting until it becomes unmanageable. Raising a concern about wellbeing or workload will never be held against someone.
8. Review
This policy is reviewed at least every 12 months, or sooner if our ways of working, legal obligations, or organisational structure change materially.
